Zeno syncs with QuickBooks Desktop through the QuickBooks Web Connector (QBWC) — a Windows service that runs on the same machine as QuickBooks and pushes queued transactions on a schedule. Find the integration under Settings → Integrations → QuickBooks once an admin has enabled the QB Connector module. This page covers the scheduled sync that pushes Zeno’s records into QuickBooks. To have Claude do bookkeeping inside a QuickBooks Desktop company file, see Zeno for QuickBooks Desktop. Running both on one workstation needs scheduling.

How the sync works

When you create or edit a record in Zeno — a rent invoice, a payment, an application — it’s queued. The Web Connector polls Zeno, picks up the queue, and writes the transactions into QuickBooks. Status flips back to Pushed (or Error with a message) when the cycle completes.
QuickBooks must be open and the Web Connector service must be running. If either is down, items queue and sync when the connection comes back.

Initial setup

Each property can point at a different QuickBooks company file. QuickBooks → Properties → pick the company for each property. Payments and invoices can’t sync until the tenant is tied to a QB customer. QuickBooks → Tenants shows every tenant with a suggested QB match. Confidence:
  • Green — high confidence
  • Yellow — possible match, verify
  • Red / no match — none found
Select the right customer and click Link.

Invoices

Invoices for linked tenants can be synced. From the financial timeline on a tenant’s page, click Sync next to an invoice to queue it. Each invoice queues individually — there’s no batch push.

Reconciliation (existing QB invoices)

If you’re starting Zeno with history already in QuickBooks, the Invoices tab pairs each Zeno invoice with the matching QB invoice so you can link rather than duplicate. It suggests matches based on customer (tenant must be linked), amount (within 5% or $1), and date (within 15 days of the period start).

Status icons

  • (no icon) Unlinked
  • clock Pending — queued
  • green check Pushed — created in QB from Zeno
  • green check Linked — manually matched to an existing QB invoice
  • warning Error — hover for the message

Payments

Payments sync as Receive Payment transactions, including their invoice applications so QB’s customer balance reduces correctly. Once a payment is synced (either pushed or linked), edits in Zeno — date, check number, memo, method, applications — automatically re-queue. No manual push needed.

Linking historical payments

QuickBooks → Payments shows unmatched payments. Expand a row, pick the corresponding QB payment from the dropdown, and click Link.

Sync dashboard

QuickBooks → Sync shows the integration’s current health.
  • Connector Status — Connected (green, pulsing), Stale (yellow), or Offline (red)
  • Transaction Queue — Pending / Processing / Completed / Failed
  • Sync Counts — records synced per type per company

Errors

Common causes:
  • Customer not found — tenant not linked, or customer deleted in QB
  • Item not found — a line item type (“Rent”) has no matching QB item
  • Duplicate invoice number — already exists in QB
  • Account missing — required GL account (Accounts Receivable, etc.) not configured
From the Sync Errors section, fix the underlying issue in QuickBooks or in Zeno, then Retry the queued item. Chronic, unfixable errors can be cleared in bulk with Clear Failed Transactions — the underlying records stay in Zeno, they just stop trying to sync.
