The Contractor module tracks work for customers: a Job scopes the work, an Estimate proposes the price, an Invoice bills for it, and Payments close it out. Vendor Bills track your costs.

Dashboard

Four stat cards at the top: Active Jobs, Pending Estimates, Outstanding Invoices, Pending Tasks — each links to the matching list. Below: quick actions (New Job, New Estimate), recent activity, vendor compliance warnings (missing W-9 or COI), and an upload area for dropping scans.

Customers

People or companies you bill for work. New Customer opens a form for name, email, phone, and address. The customer detail page shows contact info, email history, and every job and invoice they’re attached to.

Jobs

A Job represents a distinct piece of work. It has:
  • Customer — who’s paying
  • Status — Estimate, Pending, Active, On Hold, Completed, Closed, Cancelled
  • Scope / description — what you’re doing
  • Related documents — estimates, invoices, payments, files, and notes
New Job from the sidebar or dashboard. Job detail has tabs for Overview, Estimates, Invoices, Payments, Documents, and Notes.

Estimates and Invoices

Estimates and invoices live in the same list (Receivable in the sidebar). Filter by type (All / Estimates / Invoices) and status.

Building an estimate

New Estimate opens the builder. Select the customer — or select a Job and the customer auto-fills. Add line items (item name, description, quantity, unit price); each line can track its own cost and markup. Issue Date, Due Date, Title, and Description are optional. Save to create a draft. The builder then shows buttons to Send, PDF, Duplicate, and (for estimates) Convert to Invoice.

Sending

Click Send to open the email dialog. Recipients accept comma-separated addresses. The subject defaults to “Estimate (or Invoice) Number from Organization.” The message supports markdown with a live Preview tab, and your email signature (from Settings → Email) appends automatically. Once sent, the status moves from Draft to Sent.

Estimate lifecycle

Draft → Sent → Approved/Rejected. Approved estimates can be converted to an invoice with one click; a green Invoiced — INV-number badge then appears on the estimate and links to the new invoice. You can also create invoices directly with New Invoice, skipping the estimate step.

Invoice lifecycle

Same document lifecycle as everywhere else in Zeno: Draft → Issued → Partial → Paid → Void. Apply Payment is shown on any invoice with a balance due.
If a line item is missing a GL account, Zeno saves the estimate as a draft and shows a banner pointing to Settings → Items to fix it. The draft isn’t posted to the ledger until the item is mapped.

Payments

Record Payment logs a customer payment: amount, date, method (Check, Cash, Credit Card, Bank Transfer, Other), reference number, notes. The new payment lands with its full amount Unapplied. Open a payment to apply it to open invoices. The right panel lists every invoice with a balance; enter amounts in the Apply Amount column and click Apply to Invoices. Remove an application to free up the amount again.

Vendors and Bills

Vendors in the Contractor module are the subs and suppliers you pay for job work. Their contact records track W-9, COI, and workers’ comp coverage — gaps surface on the dashboard as vendor compliance warnings. When a vendor is missing compliance documents, you can send them a secure Vendor Portal link to confirm contact info and upload files. Bills are vendor invoices you received. Create a bill manually or let the Inbox parse a scanned bill into one. Bills follow the same lifecycle as customer invoices and can be paid from the bill detail page.

Documents

Every file attached to a contractor record — estimates, invoices, bills, job notes, vendor compliance docs — is searchable from Document Center, reached from More → Documents. Filter it to the Contractor module for the contractor-only view.
