Your audience is everyone you can email. People sit on lists, carry tags and custom fields, and a segment picks who receives a particular campaign. Everything here is under Campaigns → Audience.

Contacts

Audience → Contacts shows everyone across your lists. Search by name, email, or phone; filter by list, status, or tag; and sort by email, name, date added, or last open. Only subscribed contacts are ever sent a campaign.

Adding a contact

Click Add contact. Pick the list, enter the email and, optionally, the name and tags. Tick This person asked to receive our emails. to confirm you have their permission, then save.

Working with many contacts

Select contacts, or use Select all N matching contacts, then choose Add tags, Remove tags, Unsubscribe, or Remove from list. Export CSV downloads the current view.

A contact’s profile

Click a contact to see their lists, tags, and custom field values, how they joined each list, and an Email activity table of the issues sent to them with opens, clicks, and outcomes. If they can’t be emailed, a banner says why and since when. Use Edit details to change their name or fields; the change applies on every list they’re on.

Lists

Audience → Lists & signup forms holds your lists. Click New list to add one. Each list shows its subscribed, unsubscribed, bounced, and awaiting-confirmation counts, and how many people joined in the last 30 days. A person is identified by email address. The same person can be on several lists, and a campaign sent to more than one of them still reaches them once. You can’t delete a list while a segment uses it. Deleting a list doesn’t lift anyone’s opt-out.

Tags

Tags are free-text labels on a contact. Add them by hand, in bulk, on import, or automatically when someone joins through a signup form. Use them in segments.

Custom fields

Audience → Custom fields adds your own fields to contacts: text, number, date, or choice. A choice field needs at least two options. A field’s type can’t be changed once it’s created. Each field has a merge tag like {{renewal_date}} that your AI can put in an email to show each person’s value. See Building an email. You can’t delete a field while a segment uses it.

Segments

A segment decides who receives a campaign. Open Audience → Segments to build one, or ask your AI. Choose who the segment draws from under People from: your Subscriber Lists, or your Bookkeeping Customers (active customers with an email address). Then add conditions. A person has to meet every condition.
  • Lists — any of your lists. Leave all unchecked to include every list.
  • Tags — tagged with any of, or all of, the tags you pick. Leave out people tagged with any of excludes tags.
  • When they joined — joined on or after, or on or before, a date
  • Engagement — opened, clicked, didn’t open, or didn’t click any of the last 1 to 50 issues. Didn’t-open only counts people those issues actually reached.
  • Fields — up to 10 conditions on your custom fields. Text fields take is, is not, contains, has a value and is blank; date and number fields take is, before, after, has a value and is blank; choice fields take is, is not, has a value and is blank.
Who this reaches shows how many people the segment will reach today, after the do-not-email list. Some mail apps open email automatically, so opened and didn’t-open conditions are estimates. Clicks are the steadier signal. Editing a segment sends any campaign using it back to Draft, whether it was waiting for approval or scheduled, so it’s approved again against the new audience. You can’t delete a segment that an unsent campaign uses.

Importing contacts

Audience → Import contacts takes a CSV file up to 10 MB and 25,000 rows.
  1. Pick the list and upload the file.
  2. Under Match your columns, check how each column maps to email, first name, last name, phone, tags, or a custom field. Common headers from other newsletter tools are matched for you.
  3. Optionally, fill in Tag everyone in this file.
  4. Answer How did these people agree to hear from you?
  5. Tick the box confirming everyone in the file agreed to receive email from you, and import.
Tags in a single cell are separated by commas. People already on the list are updated rather than duplicated. Anyone who opted out before is imported but stays unsubscribed or bounced, so an import never re-subscribes them. The summary lists how many were added, updated, kept opted out, invalid, or had field errors.

Signup forms

Each list can have a hosted signup form. On Lists & signup forms, click Signup form on the list.
  • Form is on — the form only works while this is on
  • Heading, Introduction, and Button — the form’s wording
  • Ask for first and last name — email is always required; names are optional
  • After they submit — the message shown after submitting
  • Tag new subscribers with — tags added to everyone who joins through the form
Share the form’s link, or copy the HTML under Embed on your website into your site.

Confirming a signup

Every signup is confirmed by email. The person gets a message with a link, and the link opens a page with a Confirm subscription button. They’re subscribed only after they click it. The contact shows as Awaiting confirmation until they click it. Confirmation links stop working after 7 days; the person can sign up again for a new one. Confirming through a form brings back someone who had unsubscribed or bounced, or whom your team had added to Do not email. It doesn’t bring back someone who marked your mail as spam.

Stopping spam signups

The form has built-in limits on how many times one address or one connection can sign up in an hour. If spam signups still get through, click Getting spam signups? Make a new link. The old link and any embedded copies stop working, so update your website with the new code.

Welcome emails

From a list’s signup form page, click Create a welcome email to send one email to each person who joins that list. It opens the new welcome email, where you set how many hours after they confirm it goes out (0 for right away, up to 720, which is 30 days) and whether people your team adds by hand get it too. The button goes away once the list has a welcome email. It goes only to people who join after it’s turned on; it never goes to imported contacts or people already on the list. A welcome email is approved like any campaign (see Sending and approval). Once approved it shows as On. Each list can have one welcome email on at a time.

Do not email

Audience → Do not email lists every address your organization won’t email, with the reason:
  • Unsubscribed — the person used an unsubscribe link
  • Hard bounce — the address doesn’t accept mail
  • Spam complaint — the person marked your mail as spam
  • Added by your team
Click Add addresses to block addresses yourself, one per line or separated by commas. Only addresses your team added can be removed. If the person also unsubscribed, bounced, or complained, they stay blocked. A person who signs up again through your form and confirms is unblocked, unless they marked your mail as spam.

Asking your AI

Your AI works with the same audience. For example:
  • “How many people on the members list opened one of the last three issues?”
  • “Make a segment of everyone tagged volunteer who joined this year.”
  • “Tag these five people as board.”
  • “Turn on the signup form for the newsletter list and tag new people website.”
Your AI can’t turn a signup form on by itself. Switching a form on publishes a page that emails whoever types an address into it, so you approve that in the app. Unsubscribing or removing contacts in bulk is approved in the app too.
