ZenoRent Privacy Policy

This Privacy Policy explains how ZenoRent ("ZenoRent", "we", "us" or "our") collects, uses, and protects your information when you use our web application (the "Software"). This Privacy Policy is part of and incorporated into our Terms of Service.
By using the Software, you agree to the terms of this Privacy Policy. If you do not agree, please do not use the Software.
1. INFORMATION WE COLLECT
a. Account Information. When you register for ZenoRent, we collect:
- Name
- Email address
- Password (encrypted)
- Organization/company name
b. Property Management Data. You may enter property management information into the Software, including:
- Property addresses and details
- Unit information
- Tenant names and contact information
- Lease terms and rent amounts
- Payment records and check images
- Notes and activity logs
c. Document Data. When you upload documents for processing, we collect:
- Scanned check images
- Lease documents
- Receipt and expense images
- Other property-related documents
d. Usage Information. We automatically collect:
- Log data (IP address, browser type, device information)
- Pages visited and features used
- Time and date of access
- Error logs and performance data
e. Cookies and Local Storage. We use browser cookies and local storage to:
- Store authentication credentials to keep you logged in
- Save your preferences and settings
- We do NOT use tracking cookies for advertising purposes
f. Financial Account Data. When you connect bank accounts or credit cards through our bank feed integration, we collect:
- Account names and masked account numbers
- Transaction history (dates, amounts, payee names)
- Account balances
This data is retrieved through secure integrations with financial data providers (such as Stripe). We do not store your bank login credentials. Connection tokens are encrypted and can be revoked at any time.
2. HOW WE USE YOUR INFORMATION
We use your information to:
- Provide and maintain the Software
- Process documents using AI for data extraction
- Match payments to tenants
- Sync data with QuickBooks (when enabled)
- Process your subscription payments
- Send service-related communications (account updates, security alerts)
- Improve the Software and develop new features
- Provide customer support
- Comply with legal obligations
- Detect and prevent fraud or abuse
3. AI PROCESSING
a. Document Analysis. We use AI services (including Google Gemini) to extract information from uploaded documents such as rent checks, leases, and receipts. This processing is done to provide the core functionality of the Software.
b. Data Handling. Document images are sent to AI providers for analysis. We do not use your documents to train AI models. AI providers are contractually required to delete processed data after analysis.
4. DATA STORAGE AND RETENTION
a. Storage. Your data is stored securely on cloud servers. All data is encrypted in transit (using TLS/SSL) and at rest.
b. Document Storage. Uploaded documents are stored in your designated file locations and/or our secure cloud storage.
c. Retention. We retain your information for as long as your account is active or as needed to provide services. If you cancel your account, we will delete your personal data within 90 days, except as required for:
- Legal compliance
- Dispute resolution
- Fraud prevention
- Backup systems (deleted within 180 days)
5. DATA SHARING AND DISCLOSURE
a. We Do Not Sell Your Data. ZenoRent does not sell, rent, or trade your personal information to third parties.
b. Service Providers. We may share your information with trusted third-party service providers who assist us with:
- AI document processing (Google)
- Payment processing
- Email delivery
- Cloud hosting (Cloudflare, Turso)
- QuickBooks integration (Intuit)
- Bank feed connectivity (Stripe)
All service providers are contractually required to protect your information and use it only for the services they provide to us.
c. QuickBooks Integration. If you enable QuickBooks integration, your payment and tenant data will be synced with your QuickBooks company file. This integration is controlled by you and can be disabled at any time.
d. Legal Requirements. We may disclose your information when required by law, including:
- In response to subpoenas, court orders, or legal process
- To protect our rights, property, or safety
- To prevent fraud or illegal activity
- To enforce our Terms of Service or this Privacy Policy
e. Business Transfers. If ZenoRent is acquired or merged with another company, your information may be transferred to the new owner.
6. DATA PROTECTION RIGHTS
a. GDPR Rights (European Users). If you are located in the European Economic Area (EEA), you have the right to:
- Access your personal data
- Correct inaccurate data
- Request deletion of your data
- Object to processing of your data
- Request data portability
- Withdraw consent at any time
b. CCPA Rights (California Users). If you are a California resident, you have the right to:
- Know what personal information is collected
- Know whether your information is sold or disclosed
- Opt-out of the sale of personal information (we do not sell data)
- Request deletion of your information
- Not be discriminated against for exercising your rights

7. DATA SECURITY
We implement industry-standard security measures to protect your information:
- TLS/SSL encryption for data in transit
- Encryption for data at rest
- Regular security audits and vulnerability assessments
- Access controls and authentication requirements
- Session-based authentication
However, no method of transmission or storage is 100% secure. While we strive to protect your information, we cannot guarantee absolute security.
8. DATA BREACH NOTIFICATION
In the event of a data breach that affects your personal information, we will notify you within 72 hours of discovering the breach, as required by applicable data protection laws. Notification will include:
- The nature of the breach
- What information was affected
- Steps we are taking to address the breach
- Steps you can take to protect yourself
9. THIRD-PARTY LINKS AND APPLICATIONS
The Software may contain links to third-party websites or integrate with third-party applications (such as QuickBooks). This Privacy Policy does not apply to those third parties. We are not responsible for the privacy practices of third parties and encourage you to review their privacy policies.
10. CHILDREN'S PRIVACY
The Software is not intended for use by children under 13 years of age. We do not knowingly collect personal information from children under 13. If we learn that we have collected information from a child under 13, we will delete it promptly. 11. INTERNATIONAL DATA TRANSFERS
If you access the Software from outside the United States, your information may be transferred to, stored, and processed in the United States. By using the Software, you consent to this transfer. We take steps to ensure your information receives adequate protection in accordance with applicable laws.
12. CHANGES TO THIS PRIVACY POLICY
We may update this Privacy Policy from time to time. We will notify you of material changes by:
- Posting the updated policy on our website
- Sending an email to your registered email address
- Displaying a notice in the Software
Continued use of the Software after changes constitutes acceptance of the updated Privacy Policy.
13. DO NOT TRACK SIGNALS
Some browsers have "Do Not Track" features. We do not currently respond to Do Not Track signals because there is no industry standard for how to respond to them.
