File Agent: keep your documents on your own machine
For organizations that need documents stored on-premises, the File Agent syncs with Zeno while keeping files under your control.
Some organizations prefer to keep sensitive documents under their own control. Bank statements, tax returns, contracts, receipts: these are files you might not want stored on someone else’s server.
The File Agent makes that possible while you still use Zeno for document processing and workflow management.
A watched folder on your hardware
The File Agent is a small application that runs on your computer or server. It watches a designated folder and syncs with Zeno in the background.
When you upload a document through Zeno, it goes into your local folder instead of our cloud storage. When Zeno needs to display or process a document, it pulls from your machine. The files never leave your network unless you choose to share them.
From Zeno’s perspective, everything works the same. Receipt scanning, expense categorization, and document linking all behave normally. The only difference is where the files physically live.
What you need to run it
The File Agent runs on Windows, Mac, or Linux. It needs a stable internet connection to sync with Zeno, but the sync is lightweight: only metadata travels over the network, not the full files.
For organizations that want centralized storage, the File Agent can run on a server with a shared network drive. Everyone in the office accesses the same document folder, and Zeno syncs with that single location.
When it makes sense
The File Agent is useful when:
- Compliance or policy requires documents to stay on-premises
- You’re already using a document management system and want Zeno to integrate with it
- You want to maintain your own backup and retention policies
- You’re working with large files and want to avoid upload and download delays
Most organizations are fine with cloud storage. For those that aren’t, the File Agent is an alternative that keeps the workflow intact.
