The AI Bookkeeper: ask questions, record transactions
A chat assistant that reads your books, answers questions, and drafts three kinds of transaction that you approve before anything posts.
Every property manager we work with has the same routine: a tenant calls asking about a balance, a payment, or a missing credit. You pull up their record, check the ledger, maybe cross-reference QuickBooks, and answer. The call takes ten minutes. The question took five seconds.
The AI Bookkeeper is a chat assistant that collapses that loop. You ask in plain English; it reads your data and answers. If the question is “record a payment” or “apply this credit,” it drafts the transaction and hands it to you to approve.
What it can look up
Everything Zeno knows about:
- Tenant balances, payment history, and invoice history
- Properties, units, leases, and current rent amounts
- Inbox status and filed documents
- Recent payments across the whole organization
- Any linked QuickBooks records, including comparisons between Zeno and QB
Ask in plain English. “What does Maria owe for February?” “Show me all payments from the Oak Street building last month.” “Why doesn’t John’s balance match QB?” The assistant reads the right records and responds.
What it can do
For writes, the AI Bookkeeper never edits data directly. It validates your request, builds the exact transaction, and offers a Suggested Action button. You click to confirm; the action posts under your user with a via bookkeeper tag in the audit log.
Three write actions are supported:
- Record a payment: cash, check, Zelle, Venmo, or anything else that doesn’t come through a bank feed
- Apply a payment to an invoice: match an unapplied payment to an open invoice
- Create a credit memo: rent concessions, late-fee waivers, error corrections, refunds
Every other change still happens in the main app: invoice generation, lease edits, accounting sync, reconciliation. The Bookkeeper handles the quick things that otherwise interrupt your day.
Where it runs
The AI Bookkeeper lives inside the main app. Click the AI button in the sidebar to open a conversation. Conversations are saved, so you can pick up where you left off.
For organizations that want it, we can also expose the Bookkeeper over WhatsApp or phone as an optional add-on. Your team messages or calls from outside the app, and the assistant handles the same kinds of lookups and transaction drafts.
Narrow on purpose
A lot of AI-in-accounting pitches feel like magic that stops working when the details matter. The AI Bookkeeper is deliberately narrow. It answers lookups, and it drafts three kinds of transaction that you approve before anything posts. It does not write to the ledger on its own, and it will tell you it can’t find something rather than composing a journal entry to fill the gap.
