# Inbox

> Upload any document — Zeno reads it, extracts the data, and routes it to the right module for review.

The Inbox is where every document enters Zeno. Rent checks, leases, vendor bills, receipts, estimates, contracts, W-9s — drop them in and the AI classifies each one, extracts the relevant fields, and hands you a filled-in form to approve.

Nothing is filed until you confirm.

## Uploading

Drag files (PDF, JPEG, or PNG) onto the upload area at the top of the Inbox, or click to browse.

## Module tabs

The row of tabs at the top filters by module: **All**, **Rental**, **Development**, **Expenses**, **Books**, **Contractor**. Each tab shows a count of documents waiting for you. Only modules your organization has enabled appear.

## Document statuses

| Status | Meaning |
| - | - |
| **Processing** | OCR and AI extraction in progress — the page updates itself when done |
| **Ready** | Parsed and waiting for your review |
| **Classified** | Type identified, some fields still need confirming |
| **Filed** | Approved and stored |
| **Discarded** | You dropped this from review. Kept for the audit trail. |
| **Error** | Processing failed — hover for the reason |

Use the status chips in the toolbar to focus on one at a time. Sort by Date, Amount, Name, or Status.

## Reviewing a document

Click any item to open the detail view. The document preview is on the left; the extracted data is on the right.

What you'll see depends on the document type, but common fields include:

* **Module** and **Document Type** — change if the AI guessed wrong
* **Amount**, **Date**, **Reference** — extracted from the document
* **Matched contact** — the tenant, buyer, customer, or vendor Zeno thinks this belongs to, with a confidence indicator. Override from the dropdown if needed.
* **Category / GL account** — for bills and receipts, the account this will post to

Confirm to file; **Discard** to drop. **Reprocess** re-runs the AI if you replaced the file or the first pass failed.

> [!TIP]
>
> Supported document types include rent checks, leases, buyer checks, vendor bills, vendor estimates, vendor checks, vendor contracts, statements, receipts, W-9s, COIs, permits, and lien waivers. A single scan can contain **multiple checks** — each is separated and confirmed individually.

## What happens on confirm

When you approve a document, Zeno:

1. Creates the right record — a payment, a bill, a lease attachment, a credit, etc.
2. Renames the file with a standardized name (amount, date, reference).
3. Moves it to the folder configured for that property, project, or vendor.
4. Posts any resulting transactions to the ledger.

Files uploaded directly to a record (e.g., attaching a lease to a tenant) skip the AI step and are filed based on the record you attached them to.

## Matching

Zeno matches names and unit references against your existing contacts. It handles first/last name order, nicknames (Bob/Robert), last-name-only matches, and unit numbers pulled from memo fields or addresses. Lower confidence scores mean less certainty — verify before approving.

If no match exists, create the contact inline from the review screen.
