# Moving from QuickBooks

> Connect QuickBooks Online, or move a QuickBooks Desktop company file into Zeno's own books

Both routes end in the same place — your accounts, contacts, and history in Zeno's ledger, where every module posts. QuickBooks Online connects over OAuth and keeps pulling. QuickBooks Desktop is a one-time move off a company file. Both live under **Settings → Integrations**.

## Which one you want

| | Reaches | Runs | You end up |
| - | - | - | - |
| **QuickBooks Online** | Your QBO company, over the internet | On demand, and again whenever you click **Sync now** | Working in Zeno, with QBO still there |
| **QuickBooks Desktop migration** | A `.QBW` company file on a Windows machine | Once, in two steps, repeatable | Working in Zeno, with QuickBooks closed |

Two other things share the QuickBooks name and are not this page. The [QuickBooks sync](https://zenorent.com/docs/integrations/quickbooks.md) pushes Zeno's rent invoices and payments *into* a live Desktop company file on a schedule — that's ongoing data movement, not a move. [Zeno for QuickBooks Desktop](https://zenofirm.com/quickbooks-desktop) does bookkeeping inside a company file through a chat client and never touches Zeno at all.

## Connecting QuickBooks Online

Go to **Settings → Integrations** and find the **QuickBooks Online** card.

1. Click **Connect QuickBooks**. A window opens on Intuit's own sign-in, you pick the company, and it closes again. The card shows **Connected** and the company it's linked to.
2. Click **Sync accounts & contacts** for a first pass that brings across the chart of accounts, customers, and vendors without transactions. Your own account names show up in Zeno straight away.
3. Set **Sync transactions from** to the date you want history to start. Leave it blank for a rolling 24-month window.
4. Click **Sync now**.

The card lists **Accounts**, **Customers**, **Vendors**, and **Transactions** with the last time each one ran. Transactions sync in the background, so the timestamp is what tells you it landed.

Re-syncing is safe. Transactions already in Zeno are skipped rather than duplicated, so widen the start date and click **Sync now** again whenever you want more history.

**Disconnect** revokes the connection and stops the sync. What already came across stays in your books.

If the card says QuickBooks Online isn't configured on this server, that's a deployment-level setting, not something in your organization — email [support@zenorent.com](mailto:support@zenorent.com).

## Migrating a QuickBooks Desktop company file

QuickBooks Desktop has no internet API. Reading a company file needs the **QB Connector**, a small Windows service that runs on the machine holding the file and talks to QuickBooks there.

> [!NOTE]
>
> An admin has to enable the **QuickBooks Connector** for your organization before the migration can start. Once it's on, the **QuickBooks Connector** card on the same page carries the API key the Windows installer asks for. The connector registers your company file on its first run.

The move runs in two halves, and the card on **Settings → Integrations** shows which one you're in.

### Extract from QuickBooks

Click **Extract from QuickBooks**. That queues a read of the company file for the connector, and the badge changes to **Waiting on QuickBooks**.

The connector runs on your machine on its own schedule, so this half finishes on your clock, not ours. QuickBooks has to be open and the connector has to be allowed to reach the file. The card shows how many jobs are queued and when the connector was last seen.

Leave **Extract transaction history as well as lists** ticked to bring history across. Untick it for a faster first pass that pulls only the chart of accounts, customers, and vendors.

### Import into Zeno

When the badge reads **Ready to import**:

1. Click **Import accounts & contacts**. Your chart of accounts, customers, and vendors land in Zeno.
2. Click **Import everything** to bring the transactions across.

The table underneath is the honest answer to "did it work" — two columns, **In QuickBooks** and **In Zeno**, counting real rows on each side for the chart of accounts, customers, vendors, and transactions.

Both halves are restartable. If an import stops partway, run it again: what's already in Zeno is skipped, not posted twice. That's also how you pick up anything entered in QuickBooks since the last extract — extract again, import again.

### Checking the result

Transaction totals always match QuickBooks exactly. What can differ is where a line landed: if Zeno couldn't map a line to one of your accounts, the amount went to your default income or expense account and the card tells you how many transactions that happened to. Open those two accounts and recategorize from there.

After that, work through the same checks you'd run on any conversion — chart of accounts, A/R and A/P balances, and bank balances against your last reconciled statement. [Reconciliation](https://zenorent.com/docs/reconciliation.md) covers the bank side.

## Several company files

If more than one company file is registered, a **Company file** picker appears on the card and each one migrates on its own. Zeno's chart of accounts is per organization, so two company files that are genuinely two businesses want two Zeno organizations.
